Privacy notice

A plain-language summary of how we handle information collected through this website.

Draft for review. This notice describes how this website is set up to work. Please have it reviewed against your own policies and your obligations under the Privacy Act 1988 (Cth) before relying on it.

What we collect

Enquiry form: your name, email, organisation, who you are (for example support worker or provider), approximate participant numbers, the levels and topic you’re interested in, your preferred way to be contacted, your phone number if you ask for a call, and any message you choose to write. Please don’t include sensitive or health information about participants in the message box.

Marketing source information: campaign details in the link you used (such as which social post sent you here) and the page you landed on, so we know which channels are working. These are not tied to your identity unless you send us an enquiry or complete the quiz.

Quiz: the Action Booklets™ quiz is hosted by Fillout (form.fillout.com). Your answers are collected and stored by us through that service. The quiz may pass non-sensitive details, such as your visitor type and recommended level, back to this website through the link on its results page. It should never pass personal details.

How we use it

  • To respond to your enquiry. This is the only reason we use the details you give in the form unless you also tick the optional marketing box.
  • To send updates, only if you opt in. The marketing tick-box is separate and unticked by default. You can unsubscribe at any time.
  • To understand and improve the website. Where analytics is switched on, we use a cookieless tool and we respect browsers’ Do Not Track setting.

AI assistant (chat)

This website has an AI assistant. It is a computer program, not a person. It helps you find a suitable Action Booklets™ level and answers general questions about the platform.

  • Notice first. You see a short notice and choose “Start chat” before anything you type is sent.
  • What is collected. The messages you type in the chat. We ask you not to share names, health or disability details, NDIS numbers, passwords or payment details. The assistant doesn’t need them, and we automatically remove obvious emails, phone numbers and long ID or card-like numbers from your message before it is sent on.
  • Why. Only to write a reply to you in that chat. We don’t use chat messages to build marketing lists, and the assistant can’t sign you up to emails or save your contact details.
  • Where it goes. Your messages are sent securely from our website server to a third-party AI service provider that generates the reply. The provider may process information outside Australia, including in the United States. Our AI provider’s API key is kept on the server and is never visible in your browser.
  • Storage. We don’t save your conversation in a database. It exists in your browser page only and disappears when you clear the chat or close the page. Our hosting service keeps routine technical logs (such as the time of a request). We don’t write the content of your messages to our logs. The AI provider may keep API data for a limited period under its own terms.
  • No account access. The assistant can’t see or change anyone’s account, learner records, uploads or organisation information.
  • Children and young people. The assistant is for adults. Children should use it only with a parent, carer, teacher or support worker.
  • Not advice. The assistant gives general information only. It doesn’t make funding decisions or give legal advice, and it can’t guarantee anything. Pricing and purchasing are handled when you sign up in the portal.

If you want to contact us about something personal, use the enquiry form or email admin@actionbooklets.com rather than the chat.

Organisation enquiry form and email updates

Organisation enquiry form: your contact name, organisation name, work email, organisation type and, if you choose to write one, your goals or enquiry. We use these only to respond to you. Please don’t include sensitive or health information about participants.

Email updates: if you tick the separate, optional email box on a form (or use the Email updates page), we record that you agreed, the date, and which group you belong to (for example organisation or support worker), so you receive relevant emails. Ticking the box is never needed to send an enquiry, and we don’t sign up quiz participants or customers automatically. Where email delivery is switched on, your name and email are stored with our email service provider, Brevo, which sends our emails and may process information outside Australia. Every marketing email includes an unsubscribe link, and we don’t re-add people who have unsubscribed.

Portal accounts and purchases happen on the separate Action Booklets™ portal (app.actionbooklets.com), not on this website. The portal and its payment provider handle that information under their own arrangements.

Video

The videos on this website (including the participant experiences video, once added) are hosted by YouTube. We use YouTube’s privacy-enhanced mode and the video only loads when you press play. Its preview image is loaded from YouTube’s image servers unless we have hosted it ourselves. Once you press play, YouTube (Google) may set cookies and collect information under its own privacy policy.

Where it goes

Enquiries (not chat messages) are saved in our lead-tracking database (Airtable) so that we can reply and avoid duplicate records. Email and hosting providers process information on our behalf. We don’t sell your information.

Cookies, analytics and advertising measurement

The text font on this website is hosted on our own site, so your browser does not contact Google Fonts. The site keeps your campaign source (for example, which post or advert brought you here) and a short-lived enquiry confirmation in your browser so a form can pass them to us; the longer-lived first-source copy is only kept if you accept cookies.

Optional measurement. If we have switched on Google Analytics or the Meta (Facebook) Pixel, a cookie choice banner appears first, and neither loads unless you press Accept. If you choose No thanks, they never load and the site works the same. When accepted, they receive page views and button clicks (for example “register clicked”), the campaign source, and anonymous video play and progress events. We do not send names, emails, phone numbers or anything you type into forms to Google or Meta, and we turn off Google advertising features in the analytics setup. You can change your choice at any time using the cookie settings link in the footer. Google and Meta handle that information under their own privacy policies.

Access, correction and complaints

You can ask to see, correct or delete the information we hold about you by emailing admin@actionbooklets.com. If you’re not happy with how we’ve handled your information, tell us and we’ll try to put it right. You can also contact the Office of the Australian Information Commissioner (oaic.gov.au).
